Add a contact in HubSpot

Written by Jimmy | 14 May 2024

Let's delve into 2 methods for adding a contact in HubSpot (complete with a Bonus video)

First, we have the traditional method of adding contacts directly into HubSpot, while also creating a new company and associating it with the contact.

Furthermore, we introduce an enhanced solution utilizing Charik, our specialized application designed to boost the efficiency of sales professionals utilizing HubSpot.

Whether you're a sales director, business executive, or a HubSpot CRM user, this article is tailored to resonate with you.

      Directly Adding a Contact with HubSpot CRM

Step 1: Navigate to the "Contacts" tab.

  • Log in to your HubSpot CRM account
  • navigate to the "Contacts" tab in the main navigation bar by clicking on "CRM" and then "Contacts" to access your current list of contacts.

Step 2: Add a fresh contact

  • Once you're in the "Contacts" tab, simply click on the vibrant orange button labeled "Create a contact" located at the top right corner of the page.

Step 3: Fill in the contact details

  • A window (a modal for the purists) pops up, allowing you to input the details of the new contact.
  • Fill in the required fields such as
    . First Name
    . Last Name
    . Email
    . Phone Number
  • Include additional relevant details, such as the position, website, address, and more.

Step 4: Establish and link a company

  1. Once the contact is created, navigate to the "Company" section and click on "Create a company".
  2. If your company already exists, search for it in the CRM and associate it with the contact.
  3. Otherwise, fill in the details of the new company, such as:
  • Company Name
  • Company Domain
  • Phone Number
  • Address
    4. Click on "Create" to save the company.
    5.Upon creating the company, it will automatically be linked to the contact you are currently creating.

Bonus: Automatic linking with the domain name

You can also instruct HubSpot to automatically create and link companies to contacts.

To access the function, simply navigate to Settings > Objects > Companies and search for "Automation".

2 processes are then initiated:

  • A contact with an email address will automatically be linked to the company with the corresponding domain.
  • If a contact has an email and there is no company with that domain, the company will be created and directly associated.

This feature is incredibly convenient, but it can also lead to duplicates if you have a company listed without a domain and you add a contact. In such cases, there will be a company with the domain and a duplicate without one.

It's crucial to exclude certain domains like gmail, orange, or others; otherwise, anyone with a gmail address will be mistakenly associated with Google.

The concept behind the Charik Chrome extension is to be your companion throughout the day (well, wherever you have your computer!).

But before introducing it, let's take an example to compare more simply later on.

Imagine this scenario: I'm in the midst of writing a blog post about HubSpot, connected to my CRM, essentially working on it. Suddenly, my phone rings - it's a prospect I'm unfamiliar with, who has heard about us and is interested in a demo (which is great!). Let's dive into this scenario a bit further...

.

If I need to add a contact, I have to pause my writing and navigate away from my article or open a new tab if I have a shortcut somewhere, then go through the process:

  • CRM => 1 click
  • Contact => 1 click
  • Create contact => 1 click
  • Fill in the details
  • Create => 1 click

There are 2 options here:

  • If the person provides their email and the company is automatically created and associated in HubSpot, then we're good.
  • If the person doesn't provide their email because we're on a phone call and I already have a way to contact them directly, I need to manually create and associate the company.

  • I go to add a company => 1 click
  • I choose to create a new one => 1 click
  • I fill in the information
  • I create the company => 1 click
  • Since I started from the contact, it automatically associates.
Now I can take notes, set tasks.

Oh, but wait, to send them an invitation, they need to provide their email anyway... okay, let's spend 3 long minutes on the call making sure the email is correctly noted.

Adding with the Charik extension

Let's transport ourselves back into the scenario with the Charik Chrome extension.

Here we go again, a touch of 'inception'! I'm still immersed in crafting my blog post when my phone rings - another unfamiliar prospect on the line.

This time, I swiftly use my keyboard shortcut (typically CTRL or CMD + shift + K), but I can also click if needed... after all, time is of the essence, right?

My system is primed to add a new contact.

  • I jot down the contact and company details in one convenient place.
  • I hit submit => 1 click (or press enter on my keyboard)
  • Voila! My contact and the associated company are created seamlessly.
  • I navigate to the contact's HubSpot profile => 1 click
  • No email provided? No problem! I generate one with Charik and confirm it verbally with my prospect.
  • Not only that, I can also ask some value-added questions 😎

Bilan

  HubSpot solo HubSpot + Charik
Contact Creation 4 clics between 1 and 2 clicks
Establishing a Company
between 0 and 3 clicks 0 clic
Overall between 4 and 7 clicks between 1 and 2 clicks
Total duration 60 à 90 secondes 15 à 30 secondes

If you think that an extra 60 seconds for adding a contact is insignificant, let's put it into perspective: imagine handling 100 contacts per month over a 10-year career.

The result is

25 days

that's 200 hours over 10 years, equivalent to a year of vacation in France...and that's just for you; imagine the collective impact when considering all your colleagues as well.
